Your first session counts against your monthly minute pool just like any production session. If you're on a trial, your trial allocation covers this — see Minutes for the pool model.
What you need
- Your TrainAR tenant created (you've signed up and logged into the Dashboard).
- A pair of AR glasses — INMO Air 3 or Vuzix Blade 2.
- At least one upcoming job you can record. Something straightforward (a boiler service, a tap replacement, anything that takes 10-20 minutes and you can narrate as you go).
Step 1: Add a seat
Sessions consume seats. Even for your first test, you need a seat for the engineer wearing the glasses.
- Dashboard → Settings → Seats → Add Seat (admin).
- The wizard runs in three steps: Details (pick roles trainer/trainee + assign user now or later), Choose Device (Buy from TrainAR / BYOH / Skip for now), then a Summary.
- Confirm. The seat appears in the list with status reflecting device progress (
needs_device→awaiting_delivery→ready_to_pair→paired). Seats created with Skip can have a device added later from the seat's row detail.
If you're trialling TrainAR (free plan), the free tier is one seat only — fine for your first session.
Step 2: Add the engineer as a user
- Dashboard → Settings → Users → Invite User (admin).
- Enter the engineer's email and name. Role: Admin or Member (those are the only two).
- They get an invite email with a link to set a password and join the tenant.
- Back on the Seats tab, assign that user to the seat you created in Step 1.
Step 3: Pair the glasses
The seat needs its glasses paired. Once the device is registered (purchased through TrainAR or BYOH approved) and shows status ready_to_pair:
- On the Seats tab (admin) or on Settings → My Seat (engineer), click Pair Device.
- A QR code displays — valid for 10 minutes. Use Fullscreen QR for best scan rate.
- On the glasses, the engineer opens the Core App. The first screen prompts to scan a pairing code.
- They aim the glasses at the QR on the admin's screen; the Core App reads it and authenticates.
- The seat status flips to
paired.

Step 4: (Optional) Create a task for the job
You don't strictly need a task — the engineer can run a freestanding session. But a task gives the AI context. For your first test, create one manually:
- Dashboard → Tasks → Create Task (admin).
- Title: short description ("Combi boiler annual service — 22 Siskin Grove").
- Description: any context — equipment model, customer notes, what's expected.
- Assignee: the engineer you just added.
- Click Create Task.
The task appears in the engineer's Core App on next sync.
Step 5: Record the session in trainer mode
For your first session, run it in trainer mode — the AI listens, you narrate, the platform extracts a structured procedure afterwards.
- The engineer puts on the glasses and powers them on. The Core App authenticates automatically.
- They open the assigned task in the Core App (or skip if running freestanding).
- They say "Start training session."
- Pre-flight runs silently (~2 seconds).
- The session is live. The engineer works the job, narrating as they go ("now I'm taking the front cover off, checking the pressure gauge..."). Talk naturally — don't worry about being perfect.
- When the work's done, they say "Stop training session."
The recording uploads in the background as soon as the glasses have WiFi.

Step 6: View the session
Processing takes 5–15 minutes for a typical session. The Core App's pipeline extracts, names, scores, and auto-approves procedures on the tenant side. By the time the session shows up in the Dashboard, the procedures are ready — there's no human approval step.
- Dashboard → Sessions — find the session you just recorded.
- Click in to see the read-only detail page:
- The POV recording (playable inline)
- The AI-generated session summary (score + prose, if generated)
- Each extracted procedure as a numbered sub-clip with its own thumbnail
- There's no editor, no approve/reject buttons, no per-step edit. The page is for viewing.

Step 7: Run a trainee session (optional but recommended)
Now you've got procedures sitting in your tenant, run a quick trainee session to close the loop:
- Create another task (or reuse the same one).
- The engineer (same one or a junior) opens the task in the Core App and says "Start training session."
- The AI greets them. They work, asking questions and requesting visuals — the AI has the tenant's knowledge and any bundle skills (e.g. Parts & Spares) at its disposal.
- They say "Stop training session."
- Back in the Dashboard, the trainee session appears alongside the trainer session in Dashboard → Sessions.

What you've just done

- Created a task.
- Recorded a trainer-mode session that became a structured procedure.
- (Optionally) re-played the procedure as a trainee-mode coached session.
